Administrative and Billing Assistant (m/f)

Your role:
Administrative tasks
– Preparing and reviewing of documentation, including, but not limited to, legal documents, client correspondence, letters, memoranda, reports and presentations;
– Performing submissions and researches on the Luxembourg Business Registers (LBR previously RCS)
– Coordinating and managing agendas;
– Ensuring the proper conduct of internal KYC procedures;
– Updating of databases; and
Ad hoc duties as and when they arise.
– Generating, finalising and submitting invoices to clients (knowledge of the e-billing system is a plus):
– Liaising with clients, circulating reminders on unpaid invoice;
– Liaising with Partners and fee earners on billing issues;
– Keeping up-to-date client data and updating internal systems accordingly;
– Preparation of expense claims; and
– Other ad hoc general billing tasks.

Your profile:
– Prior experience as an Administrative Assistant, Legal Secretary, Personal of Billing Assistant is mandatory;
– An experience in a Luxembourg law firm or in a similar working environment is a big plus;
– Fluency in English and French. Any additional language skills (particularly in Luxembourgish and German) would be considered as an asset;
– A degree in secretarial work or an equivalent degree;
– Proficiency in the use of MS Word, MS Excel, MS PowerPoint, Avonca, electronic document management EDM/GED and Outlook;
– Excellent personality with an extremely high level of integrity;
– Excellent communication skills and good team spirit;
– Ability to work to deadlines and to prioritise workload, pro-activity and organisation.
